Job Profile:
The Global Administration Assistant is responsible for the following for a Fixed-term (from start date to 31/12/2018) Full-Time employment with a 3 months' probationary period, reporting to Alan Knight.
· Time Management
· Set up meetings across multiple country- and time zones
· Reservation of meeting rooms, technical equipment and catering service
· Arrangement of national and international conference calls
· Detailed travel arrangement and organization
· Arrangement of visa letter for countries where necessary
· Preparation and creation of meeting, event, workshop agendas
· Travel accounting
· E-Mailbox handling for supported management
· Event- and workshop-management
· Collect input and summaries from team members
· Request and tracking of data sheets
· Stand in for colleagues in case of vacation and sickness
Skills and experiences requirements:
· Complete Secondary/High school education, university is not a condition
· Priority is put on experience: at least 3 years of practice as an assistant, preferably in an environment of international company, very good organization and communication skills
· Fluent English (spoken and written) - communication on daily bases
· Microsoft Office (Word, Excel, PowerPoint), experience with mail applications (Lotus Notes preferred), experience as an Internet user

· Flexibility in an environment of often-changing situations
· Strong team orientation – in most cases, you have to work in groups of 2-3 assistants and handle stand in situations and assist each other
· Efficient communication
· Passion for the business and dynamic attitude
· Proactive work habits - to be able to handle many items in the run-up

· Self dependency – to handle stand in situations and provide smooth support
· Stress resistant
