Job description
Job purpose:
· Sets up an organization and manages a pool of Project Secretaries as a team linked to the different phases of a Project.
· Sets up an organization according to the segment: Onshore, Offshore, Subsea
· Ensures the link between the Project Management and the team of Project Secretaries
· Ensures the good application of Technip's rules and procedures
Reporting lines and interactions:
Hierarchically reports to: Projects Secretaries Department Manager/Project secretary Head.
Operationally reports to: Project Manager.
Directly supervises: secretaries.
Key Interaction:
Internally: Task force members, other operational centers.
Externally: clients, partners, licensors.
Job scope (= role dimension: budget, management, specific criteria):
· Manages the team, possibly up to 15 people.
· Time frame: 1 month up to 4 years.
Profile:
Must have
· Bachelor degree (depending on the Regions) and/or experience as an assistant.
· Professional English.
Nice to have
· Experience in Technip or other Engineering companies.
Main accountabilities
· Promotes HSE within the task force.
· Organizes the implementation of the task force and manages its evolution.
· Sets up and manages tools linked to the Project requirements.
· Writes and sends an organizational note and a plan for classification and archiving.
· Manages and processes all the information (in and out: recording, sending, ranking).
· Manages the administrative tasks (trips, meetings, vacations, etc.).
· Ensures the interface with external and internal stakeholders on a daily basis.
· Manages the archiving and the end of the project.
