Responsibilities

Description of the Business Line or Department

Summary of the key purposes of the role

§ Provide an effective HR advisory and administration service to the SG Hambros client group by working closely and building strong relationships with the Hambros HR team, HR Business Partners, Middle Office and Shared Services teams

§ Focusing on case management, campaign support, policies and procedures, best practice advice and training

§ Working with, guiding and supporting the off shored HR administration teams and employee contact centre, MyHR.

Summary of responsibilities

§ Employee Relations

- Working in partnership with the HRBPs and ER Manager in dealing with less complex employee relations cases

- Managing all leave of absence requests (maternity, paternity, adoption, career break, parental leave, flexible working)

- Managing entire sickness process, liaising with Occupational Health as required

- Attending and contributing to weekly ER meetings

- Managing data leakage cases

- Managing Subject Access Requests in conjunction with our SAFE department

- Managing any adverse background screening results

- Preparing some less complex ER letters

§ Onboarding

- Advising managers and new joiners on any queries they may have

- Working with and liaising with the Recruitment Team as necessary, communicating effectively with the off shore HR team

- Point of contact for Compliance and the Accountability Regime team in regards to any new joiners who are senior managers and certified persons

- Assisting with and presenting at the weekly new joiner induction (plus being a back up for running the session)

- Occasional 1:2:1 inductions for VIP new joiners

- Managing expectations and delivering the message to both the new joiner and the business when start dates needs to be delayed

- Competency interviewing up to Associate level employees

- Weekly background screening meetings with the off shore team

- Updating contractor and recruitment tracker with new hires and contractor extensions

- Manage work experience process ensuring relevant formwork is completed

§ Career Management

- Regularly analyzing relevant absence record reports and flagging any potential concerns/trends and following up as appropriate

- 3 month new joiner checks, mid probationary review plus appropriate follow up

- Probation extension cases

- Execute and coordinate the internal transfer and international mobility process in conjunction with the international mobility team

- Support the KH training team and talent development as required

- Manage any work permit and visa issues (outside of recruitment)

- Point of contact for employees returning to the UK after secondment (meet them on first day back)

- Employee Biographies – liaising directly with managers to put these together for Senior Management

§ Leavers

- Coordinate exit interviews

- Conduct exit interviews for VP level and below

- Coordinate garden leave meetings

- Advise employees and managers as appropriate

- Prepare settlement agreements including liaising with relevant parties for all information

§ Other

- Point of contact for complex administration tasks and questions (often involves liaising with other departments) such as benefits, learning and development queries

- Escalation point for administrative errors/delays in your business lines

- Work with the HR Teams on any projects including annual large data exercises

- Continuously focus on analyzing, improving and streamlining current processes

- Ad hoc project work and input

- Work with the Business Partners and other teams in HR on any regular and annual exercises (talent, Campaign events, Annual Compensation Review (ACR), promotions, McLagan, annual visa checks, etc)

- Weekly meeting with the off shore HR team, guiding on any HR transactions, checking their work when necessary

- Monthly GPS reporting

- Business case preparation (for headcount, compensation reviews etc)

- Liaising with Finance on headcount and system changes

- Preparing any adhoc reports as requested

- Perform all duties in accordance with the principles outlined in the SGPBH Code of Conduct, as well as the policies and procedures relevant to your responsibilities, to ensure that you adhere to a culture that treats clients fairly and focuses on the long term sustainability of client relationships

Level of Autonomy and Authority

·  Role reports to the London HR Manager to whom all out of policy decisions and escalations are to be referred

Profile Required

Competencies

§ Individual contributor competencies as defined in the SG Leadership Model

§ Experience in a similar role (HR Advisor level) within a demanding environment (Financial Services preferred)

§ Ideally would have experience with working with an offshored administration team

§ Ability to think and plan ahead, anticipate needs and pro-actively problem- solves

WORK EXPERIENCE

§ Ability to advise on HR policy and procedures, previous ER case management experience

§ Awareness of and application of employment law

§ End to end employee cycle administration experience

§ Strong stakeholder management interaction and experience

§ Can demonstrate ability to act under pressure and have the confidence to have difficult conversations

§ Can anticipate risk in difficult situations and escalate accordingly

EDUCATION

§ Degree Level educated

§ CIPD desirable but not essential

LANGUAGES

§ French desirable but not essential
