We are looking for a team assistant , with experience in office management in Uzbekistan to join our friendly team in Siemens Uzbekistan office.
What are the responsibilities?
-Support and full assistance to the head of group in daily works;
-Sending, acceptance, analysis and accounting of mail, faxes and other correspondence according to an established procedure;
-Preparation and organization of meetings, meetings and presentations, reservation of rooms, service of guests;
-Coordination of business trips: visa support, obtaining visas, organization of business trips of employees (booking, accommodation, execution of the reporting, etc.);
-Acceptance and accounting of phone calls, informing the head of group and employees on incoming information;
-Maintaining, accounting, and storing of documentation, record keeping, maintaining folders with correspondence, files, lists, production of copies of documents, etc.;
-Execution of orders of the head of group, sharing the data with employees, maintaining time keeping, work with HR department on all organizational issues;
-Ensuring timely purchase of the office equipment, furniture and consumable materials;
-Comprehensive communication on the current questions with employees of group, providing reports for work upon request of the head of group;
-Observance of the main regulations and rules on labor protection and safe engineering and fire safety, employment policies and procedures;
-In case of business necessity, in the order established by the law, at the request of the management accomplishment of duties of other employees of division;
-Strict accomplishment of the rules existing in department and Siemens including when maintaining documentation, providing reports;
-Support of web page;
-Preparation of the presentations, photo and text materials at the request of colleagues;
-Preparation and control for printed materials;
-Support of corporate actions and exhibitions.
The selected candidate will report directly to the Head of Representative Office.
What is needed to qualify for the job?/ Requirements to the candidate
• Higher education is a serious advantage.
• 3 years or above of relevant work experience.
• Excellent communication and analytical skills.
• Advanced PC user, strong skills at MS Excel, Word, Power Point.
• Fluent English and Russian (both verbal and written), fuent Uzbek and/or German language will be a serious advantage.
• Legal, contractual practice, and logistics knowledge in Uzbekistan will be a serious advantage.
