Job description



Summary of purpose/major responsibilities:

·  Budget Management: be knowledgeable of US and Canada finance and procurement practices/policies/systems/processes; provide full budget support, reconciliation, and oversight with monthly updates for Black line manager and partial support for Double-Black Line manager; proactively manage vendors, SOWs, invoices, etc. for director level partners; develop process and communication improvements.
·  Project Management Leadership: initiate, plan, execute, and report on projects assigned by director level partners. Project Management Support: Provide support to projects run by director level partners- slide development, process improvement, etc. (30%)
·  Administrative Duties: perform diverse administrative tasks, including calendar management, meeting management/organization, slide development, minutes, travel support, expense processing
·  Executive support to vice president, Head of Medical
·  Support to director level partners
·  Misc: Provide budget, project, administrative or other support for non-director level partners

Key Accountabilities:

·  Budget support [25%]
·  Knowledge of finance and procurement practices/policies/systems/processes
·  Reconciliation, management and reporting of key budgets
·  Coordination with purchasing, finance, and procurement as necessary
·  Execution of Master Service agreements, Service Provider Agreements, and vendor contracts
·  Management of vendor processing (POs, invoices)



·  Project Management [35%]
·  Leadership of key projects assigned by director-level partners
·  Support for key projects assigned by director-level partners
·  All assignments will encourage competency development and growth in role.
·  Administrative support [40%]
·  Maintenance of calendars/appointments
·  Management/scheduling of meetings across multiple time zones with global contacts
·  Coordination of key meetings as necessary: schedules, agendas, slides, pre-reads, minutes
·  Coordination of events- rooms, food, communications, logistics
·  Organization and coordination of extensive domestic and international travel arrangements.
·  Preparation and tracking of travel expenses

Context of the job/major challenges:

·  Work transversally, interact professionally and demonstrate sensitivity across cultures, time zones, geographies, and numerous contacts at all levels, including Global, Regional and Country.
·  Must be flexible about working outside of standard hours from time to time due to the nature of coordinating and supporting a global team
·  Requires flexibility, high level of productivity, and efficiency given the activity and scope of the people for which support is needed
·  Requires excellent interpersonal and communication skills due to work with external clients & vendors; global, regional, and local colleagues; and all levels of internal management, including high level executives
·  Sensitivity to confidential matters is required. Work requires tact, diplomacy, discretion, and good judgment.
·  Must take personal responsibility and ownership for work outputs. Also, must proactively keep all co-workers informed of developments or changes without waiting for inquiries
·  Requires strong computer (including PowerPoint and excel), project management/coordination, and internet skills
·  Must act as back-up and provide coverage for other admins as needed.
