About NGSC KL
Novartis Global Service Center in Malaysia (NGSC KL) is one of a network of five global service centers established by Novartis around the world. The site in Kuala Lumpur, Malaysia was set up in 2015 and currently has several hundred associates employed at the site.
The Center, one of 5 around the world, delivers a broad variety of services to the Novartis worldwide. We have highly qualified teams in areas such as medical, scientific and commercial services (known as Product Lifecycle Services), IT, Human Resources, Financial Reporting & Accounting, Procurement, Real Estate and Facility Services, Legal & Compliance and Communications. NGSC KL is home to a culturally diverse talent pool driving innovation, standardisation and world-class service delivery across Novartis business divisions worldwide.
Finance & Procurement IT Service Operation provides a centralized ERP service for Novartis SAP platform for business operations such as accounting, procurement, HR, manufacturing and sales teams across the Novartis divisions. The Service Operation responsible for service delivery, system stability and system enhancements. We deliver a cutting-edge, seamless 24x7 service to 140 000 global users with a team of 2000 Associates distributed in 8 strategic locations worldwide.

This role is responsible for overall security application and operation from IT perspective to ensure high level of operational integrity and system is operating at optimal performance.
Job Responsibilities
Selected candidate will be assign either for the positions of Project Services & Resources Management, Business Process Analyst or Security & Identity access management
Business Process Analyst
• Implement, Analyze, Report and Optimize Services delivered by F&P IT & ERP COE
• Support organizing and managing regular Reporting and Feedback Meetings (including KPI reporting, preparation and follow-ups)
• Stakeholder Management (including relevant Super User)
• Identify areas of improvement and support optimization activities
• Support F&P IT Processes and take care that SU are following these processes (e.g. Incident Management, Change Management etc.)
• Provide Stakeholders with relevant information and updates
• Facilitate regular meetings with relevant Stakeholders and report key performance indicators, analyze service short falls and provide feedback to the Service Delivery and COE units
• Support F&P IT team to collect demand and facilitate the following steps (e.g. High Level Effort Estimation)
Project Services & Resources Management
• Monitor and control if project portfolio is set up in Clarity
• Regularly review missing status reports, data consistency, financial information, timely time recording, etc.
• Responsible for maintaining of the Project Reviews and Services SharePoint (including Resource Management) as per agreement with the corresponded teams
• Prepare consolidated project status report and distribute it to as a service
• Support all project teams on Clarity administration/Super User including: o Initial project set up, job role definition and providing access right and training in project specific content
• Support Project Satisfaction Surveys for ERP IT (F&P IT) projects
• ERP IT (F&P IT) MS SharePoint Support
• Consolidate the proposed project staffing and keep the resource pool updated and aligned with the priorities defined by pipeline management
• Contribute to preparation of presentations, workshops and meetings (including meeting minutes)
• Pro-actively align within Resource Management team to foster resource continuity and high utilization
• Perform resource management and project staffing and resourcing (incl. resource capacity planning, identify resource requirements, request external resources/services and visa requirements to vendors, assure allocation and mobilization of resources and resource evaluation)
• Escalate to the defined escalation channels if required
• Controlling access level in SAP system
• Working with domain Function. Doing actual configurations of SAP, hence need to understand the business concept
• Project management, PMO deployment of the projects to the relevant domains
Security & Identity Access Management
• Support user access management end-to-end, delivery, ensures effectiveness and compliance.
• Contribute in regular review meeting with vendor i.e., operation issues and implement solutions
• Develop and maintain security documentation in centralized repository, to ensure up to date.
• Contribute to continuous service improvement initiative and identify the improvement opportunity.
• Work collaboratively with business users and vendors to configure and manage the SAP security/ roles according to procedure.
• Work collaboratively with Security Housekeeping and Monitoring (HKM) team to support audit request

Minimum requirements
• Candidate must possess at least a Bachelor's Degree OR Master’s Degree in Computer Science / Information Technology or similar specialization.
• Required language(s): English (Mandarin, Korean, Japanese will be an added advantages)
• IT Fresh Graduate or candidates with less than 1 year of working experience in the related field can apply for this position.
