For our Dutch Sales organization in Eindhoven, the Netherlands.

OUR CHALLENGE
As a Contract & Tender Administrator your most important goal is to play a key role in the support of contract management  and tenders (public/private). The team processes all contracts, spot quotes and tenders on half of the Dutch Sales team according to rules and regulations of the work process of the Contact & Tender Management team.
You will gather all the information needed for the tender and manage timelines. The Contract & Tender Administrator is responsible for handling all administrative tasks related to the tender. Main duties include being the gate-keeper of all contacts with the sales force, owner of contract registry, creator of customer value adds, Superuser in Vendavo and in relation to contract validity, quality and masterdata management, being specialist on tender documents and actively support in preparing the tender submission. Contribute to and implement ongoing process improvements in the Contract, Tender & Pricing team.

OUR OFFER
In this role you are the gatekeeper of (tender) contracts and owner of the (tender) contract registry. Furthermore you’re responsible for tender management: constantly monitor the tender submission process: timing & deadlines, completeness, consistency and compliance with all requirements and keeping the tender vault up to date. You make sure that all parts of the tender are covered and the required structure is kept (administration, technical and financial part). Besides these activities you follow up on submitted tenders (receipt, feedback, non-acceptance, contract upon acceptance, signature, archiving, respect timing & deadlines).
Other responsibilities include:
·  Coordination of bid process and advise our sales force
·  Reporting & administration: responsible for data management related to database and tools supporting the tender process (e.g. keeping SharePoint up-to-date). Support all tenders from an administration point of view, including all correspondence.
·  Active part of the tender board
·  Monitor contracts and follow up with sales force on prolongations, ensuring protocols are signed before expiration after alignment internally with business units.
·  Responsible for maintaining contract masterdata and formulate applications for change protocols, ensuring changes are implemented and coordinated both internally and externally after approval
·  Follow up the input of the sales force in Vendavo (software program in which we manage deals) and create documents (spot quotes & contracts) 
·  Support implementation of Vendavo and provide expert support to the sales force
·  Be gatekeeper on all agreements created by the sales force in Vendavo to ensure compliance with running contracts
·  Interact with the legal counsel regarding contract/tender conditions YOUR CAREER
