Qualifications :

JOB PURPOSE

To manage the administrative functions of the Marketing Communications division. The responsibilities include tracking all advertising and PR clips and maintaining folders, updating media databases and monthly reports, assisting with media missions and familiarization trips and general day-to-day correspondence with media. The coordinator is responsible for responding to requests for assistance from media and internal customers. Special event support and coordination – task lists, execution, attendance (when appropriate) also may be required.

JOB RESPONSIBILITIES




Media-related


• Every Monday, updates and maintains expected media exposure sheet in excel format
• Everyday, tracks all advertising and editorial clips related to the hotel and updates clip reports
• Every Friday, send link to all advertising and editorial clips to all hotel email users
• Coordinates media itineraries, logistics and paperwork for media visiting the hotel
• Provides fact-checking and itinerary planning assistance to journalists
• Updates all media outlets with hotel information, including tourism bureaus and other media/public relations tourism newsletters
• Monitors media database for accuracy and effectiveness, making necessary changes on a regular basis
• Make guestroom reservations for media and arrange amenity requests as appropriate
• To meet and host visiting online press representatives to the hotel, as part of media relationship building and for media exposure purposes
• Supports media events related to tourism through attendance or set up
• Tracks, photocopies and disseminates articles related to hotel PR efforts
• Enters articles into database tracking system and calculates media value and reach

Online Media


• Supports social media messaging and content generation efforts
• Prepares online media communications schedule with Online Marketing Manager (a month in advance)
• Every Thursday, provide weekly summary on online marketing initiatives of key competitors (Anantara Siam Bangkok, Grand Hyatt Erawan Bangkok, Intercontinental Bangkok, Siam Kempenski, Okura, Mandarin Oriental, The Peninsula)

Maintenance and updating


• Supports department by maintaining and updating the hotel photo library to fulfill photo and video requests for editorial purposes
• Based on the DOMC's guidance, maintains hotel media kit
• Supports collateral development
• Enters all articles, press releases and media information in database

Administrative


• Receives, screens and routes telephone calls. Provides information to callers or refers to appropriate person. Takes and relays messages.
• Schedules appointments, meetings and events and makes necessary arrangements
• Prepares correspondence, reports, forms and other materials from written and oral instructions. Composes correspondence and other written materials.
• Prepares monthly reports and updates weekly status reports
• Coordinates public relations mailing and shipping needs
• Processes appropriate purchase order and other billing related duties as they pertain to public relations projects
