Job Summary
The main objective of a Group Coordinator is to bridge the gap between the Sales Department and the hotels. The GC possesses strong organization skills, is self-motivated and self-directed, has previous experience in a group hotel and is technically strong with the numerous systems required to do the job successfully.
Essential Duties and Tasks
· Enter all Definite and Tentative Groups into the Brand CRS and the hotels PMS as they book. Setup group billing masters.
· Enter and manage shoulder dates (three days prior and post) for all Groups, NMQ-ing shoulder dates that we will not take the Group rates.
· Trace all decision dates for Tentatives. Contact Sales Managers to follow-up on Tentatives that are nearing decision dates.
· Trace all cutoff dates for Definites. Contact the Client/Sales Manager to notify of pending cutoff dates and request rooming lists. Check blocks within cutoff dates daily to drop excess inventory.
· Manage Group inventory in Sales and Catering system, PMS and Brand CRS.
· Enter rooming lists into Brand CRS/PMS. Complete rooming list updates as requested.
· Service all in-house Reservation requests.
· Perform Group Scrub with Brand Revenue Manager prior to weekly Yield Meetings.
· Provide GRCs and Pace reports to Brand RMs.
· Attend and participate in weekly Yield Meetings.
· Enter all MAR rate changes as determined during Yield Meeting.
· Enter all Group Blocks and individual reservations in as new weeks roll into KDATE.
· Process Travel Agent commissions daily.
· Update information screens of brand systems to include; DH screens, MarRFP and EPIC quarterly.
· Weekly System audit of GRC/PMS/Brand CRS.
· Actualize groups in Delphi upon groups departure.
· Setup new rate codes in Opera once set-up in MARSHA.
· Balance inventory between PMS and CRS.
· Review and process queues in CRS systems.
· Manage comp logs in both PMS and CRS.
· Manage reservations inquiries through vanity site.
· Posting deposits daily for individual reservations.
· Posting Rewarding Events for groups as they depart.
· Making test calls for all external reservation sources.
· Manage third party extranets to include Wholesalers, OTAs, etc.
Experience / Education / Certifications:
· Marriott experience preferred
· Delphi, Opera, CITY experience preferred
· College courses - preferred
· Hospitality or related industry experience - required
