Description

The Payroll & Benefits Administrator is responsible for processing the fortnightly payroll for both Stores and Head Office. They will oversee the daily management of data entry, reporting from HRAccess (HCM/Oracle), reporting from the ADP Freedom payroll system and providing general daily support for the Payroll & Benefits Manager and Payroll/HR department.

 

Payroll processing /administration:

·         Act as a first point of contact for any pay, tax and benefits related queries.

·         Collating and validating all payroll data prior to processing date.

·         Auditing pay data pre and post commitment of payroll and escalating any concerns to the Payroll & Benefits Manager.

·         Preparing special payment run’s for ad hoc payments when needed.

·         Partnering with store teams around any pay discrepancies, validating ad hoc pay requests and partnering with the third-party payroll provider ADP.

·         Collating tax forms from stores, validating and passing on to ADP.

·         Distributing P45 forms to leavers.

·         Collating and verifying holiday pay requests from stores and passing the data to ADP.

·         Collating statutory payment data from stores, passing for approval to HR and for payment to ADP.

·         Owning the process of pay validation, providing manual pay calculations if requested.

·         Supporting the Payroll & Benefits Manager with EOY administrations including P60’s and P11D’s.

·         Undertaking of any additional tasks and duties around payroll processing as advised by the Payroll & Benefits Manager when required.

Systems Maintenance

·         Manages the data flow between HRAccess and ADP is timely and accurate.

·         Validating employee data between HRAccess and ADP to ensure they match (bank details, pay rates, job codes etc.)

·         Is responsible for entering and managing all leavers in HRAccess.

·         Assists with online access to payslip registration process and provides copies of payslips when requested.

·         Validating and managing employee holiday in ADP to ensure holiday requests and approvals are processed correctly.

·         Prepare data and complete statistics surveys when requested.

·         Undertaking of any additional tasks and duties around system maintenance as advised by the Payroll & Benefits Manager when required.

Benefits

·         Liaise with benefit providers and communicate any changes around new joiners and leavers on monthly basis (pension, medical and dental cover).

·         Oversee all pension related administration and queries.

·         Administer and manage season ticket loan applications.

·         Undertaking of any additional tasks and duties around benefits processing as advised by the Payroll & Benefits Manager when required.

Projects

·         Provide assistance to any ad hoc projects as advised by the Payroll & Benefits Manager and support to the rest of HR team when required.

 

Qualifications

·         2 + years’ experience in payroll processing role (payroll bureau or managed service) within a retail industry is preferred.

·         Strong attention to detail and accuracy.

·         Previous knowledge of working with HR databases and payroll software (preferred Oracle and ADP Freedom).

·         Ability to communicate effectively and demonstrate a commitment to excellent customer service.

·         Ability to work in a team environment to achieve goals.

·         Ability to work with a high-volume payroll and prioritise workload to meet deadlines.

·         Ability to use own initiative.

·         Advanced Microsoft Excel and Word.

·         Proficient IT skills, PowerPoint and Outlook.
