Administrator / Sr. Administrator – Travel Expense Program

Corporate Accounting Shared Services

Job Summary:                 

Program Administrator for the Egencia travel platform and card services. Oversee all operations of the tool to ensure it is functioning optimally. Support all travelers and executives with travel and company card needs. Support the Special Ops team and Accounting Department with administrative support and projects.

 

Duties and Responsibilities:

·  Program Administrator for Egencia (travel) platform

·  JPMorgan Chase Card services administrator
·  Executive travel assistance

·  Support all users questions, travel bookings and card related issues
·  Assist with P-Card transactions and reporting
·  Reconcile Departmental P-card and obtain invoices
·  Assist with Concur questions and month end reporting

·  Employee Travel Safety- ISOS. Emergency notifications and locating employees in emergencies

·  Create and Issue Key Performance Indicators and Score Card Reporting

·  Maintain policy and enforce compliance and internal control

·  Training (webex and in person sessions monthly)

·  Maintain all reference and instructions on AP sharepoint portal
·  Order Office Supplies
·  Assist with annual 1099’s and escheatment processes
·  Assist with new user onboarding for all systems

·  Acquisitions- coordinate all master data set up and training

·  Audit requests- Internal and external
·  Participate in L’Oreal USA/ financial projects

 

Qualifications:

·  Associates degree in Business or related field. (Bachelors preferred)
·  2 - 4 years relevant work experience. Prior travel and expense function highly preferred
·  Must have experience managing Egencia or similar on line travel tool
·  Must possess excellent customer service skills as well as oral and written communication skills.
·  Strong quantitative and analytical skills.
·  Ability to extract data and have an understanding of relational data base concepts to merge and compile data to create meaningful reports.
·  Proficient in Microsoft Office Suite with an emphasis on advanced Excel skills.
·  Must have strong interpersonal skills and enjoy working as a member of a highly collaborative team.
·  Must possess strong problem solving and a strong understanding of financial and operational controls.
·  Ability to multi-task in a fast-paced, deadline driven environment.
·  Strong organizational, prioritization and time management skills
·  Must be willing and able to work overtime during peak demand periods and monthly closing cycle.
