Role Mission

The Project Assistant will provide administrative and tactical support to the HR Project Team. The role will be responsible to enhance project team's effectiveness by providing information management support, managing the day-to-day operations and conducting other duties as assigned.

Depending the profile and opportunity the Project Assistant can also provide support to the project management office on monitoring and documenting the scope, the planning, the resources and the budget of the project.

Key Accountabilities

· Plan and coordinate administrative tasks
· Assist with general office coordination responsibilities
· Support the project team by facilitating project logistics and meetings coordination such as :

- scheduling and preparing for meetings or videoconferences;

- scheduling conference calls;

- booking rooms;

- arranging agendas;

- ordering catering

· Take meeting minutes and action items and perform basic follow-ups
· Creating and editing Power Point presentations and project documentation as necessary
· Keep records of all information related to project for documentation
· Assist in obtaining information and coordinating the communications with external partners
· Raising and tracking purchase orders
· Coordinate travel logistics, including trains, flights and accommodation for the team, as appropriate as well as management of expenses
· Support the project manager and the project management team on PMO activities such as :

- Maintain and provide executive summaries of the project plan

- Monitor and document the budget and expenses

- Follow and update the resource plan against the project plan

- Help document and formalize the HR cockpit and KPIs

- Help prepare and participate to project management meetings

Profil recherché

Key Requirements

·  2-4 years' similar experience in a similar role
·  Evidence of supporting international and complex projects
·  Understanding of the Human Resources main processes is a plus
·  Excellent skills with Microsoft Word Office, Excel, PowerPoint, Outlook etc.
·  Fluent in Italian and in English
·  Ability to work and communicate effectively in a team context and with external partners
·  Ability to maintain sustained efficiency and effectiveness in performance, particularly when under pressure and with a heavy workload
·  Ability to balance priorities and multiple tasks
·  Enthusiastic, driven and well organized
·  Problem solving attitude
·  May be required to work at different locations on occasion
