Job description



The Mailroom Supervisor is responsible for opening, sorting, and distributing incoming mail, collecting outgoing mail, and maintaining electronic logs and files pertaining to mail processing. Operational excellence and professionalism while performing related tasks are expected in order to help maintain outstanding business relationships with our clients.

Site Support

• Process and handle all incoming and outgoing mail, ensuring proper routing and labeling.

• Maintain logs for incoming mail from vendors, mail delivery to customers, and all packages.

• Screen unclassified mail and determine appropriate distribution.

• Handle all special request mail responsibilities, such as UPS, Federal Express, and courier service.

Reporting

• Verify and reconcile computer-produced reports and records.

• Perform mailroom inspections and monitor supply inventory.

Customern Service

• Provide solutions to problems associated with special requirements such as bulk mail and other special types of mailings.

• Provide outstanding customer service.

• Research and follow-up with customers regarding tracking mail and/or packages.

Supervise

• Supervise Mailroom Clerks

• Effectively lead staff by clearly communicating expectations, accountabilities and providing performance feedback for continuous improvement

• Mentor, develop and train peer and direct report team members

Education

·  High School Diploma or equivenlent; Associates Degree Preferred

Years of Relevant Experience

·  At least two-years of experience in related skills applicable to corporate mail room operations

Skills and Knowledge

·  Knowledge of current postal codes, procedures, and regulations
·  Experience with UPS, Federal Express, and courier services
·  Proficiency in Microsoft Excel and Word

Other Abilities

·  A high degree of accuracy is required for handling sensitive mail and proper routing of mail
·  Ability to operate and maintain a variety of office equipment (copy machines, fax, computers, postage meters)
·  Excellent customer service and follow-up skills
