OVERVIEW
The Mail, Shipping and Receiving Clerk is responsible for opening, sorting, and distributing incoming mail, collecting outgoing mail, and maintaining electronic logs and files pertaining to mail processing for the client. Also may play a role in the achievement of the Key Performance Indicators and operational targets for the site, and perform duties with integrity & diligence in a professional manner.  This position will also play a large role in customer service, Opening and Closing Office Operation Shop, Triaging and delegating Tickets to different teams, creating signage, assisting with passport photos, inventory of supplies, event setup and handling different servers for the client such as perks, swag, bike registration, laundry, parking, IT returns and leaver process.

ESSENTIAL FUNCTIONS

·  Proactively develop and maintain client relationships ensuring that expected service levels are achieved.
·  Comply with all requirements of the Client contract and meet or exceed Key Performance Indicators.
·  Deliver an exceptional quality of service, as reflected by client feedback.
·  Act in accordance with all agreed policies, procedures and contract scope.
·  Support the day to day delivery of mail services on site in accordance with all agreed policies, procedures.
·  Identify opportunities for improved operation to drive efficiencies (process and cost) and make recommendations to the Area/Site Manager for consideration.
·  Process and handle all incoming and outgoing mail, ensuring proper routing and labeling.
·  Scan incoming deliveries from FedEx, UPS, USPS, DHL, FedEx Ground/Home, and any other deliveries.
·  Maintain logs for incoming mail from vendors, mail delivery to customers, and all packages.
·  Screen unclassified mail and determine appropriate distribution.
·  Handle all special request mail responsibilities, such as UPS, Federal Express, and courier service.
·  Support clients with international outbound shipments, paying close attention to international requirements as outlined in the account SOPS
·  Research and follow-up with clients regarding tracking mail and/or packages.
·  Provide solutions to problems associated with special requirements such as bulk mail and other special needs.
·  Provide outstanding customer service.
·  Verify and reconcile computer-produced reports and records.
·  Perform mailroom inspections and inventory supplies.
·  Maintain Client Specific Responsibilities such as audit perks and other services, handling swag, managing vendors, bike and parking registration, handling events/ops, IT returns and leaver process.
·  Any other activities to support JLL and/or site operations, including, but not limited to: moves/reconfigurations, events, safety or sustainability practices
·  Act in accordance with all agreed policies, procedures and contract scope.
·  Seek ways to constantly reduce costs and improve operational standards.
·  Ensure compliance within delegated financial and contractual authorities.
·  Actively support an environment of teamwork, co-operation, performance excellence and personal success.
·  Participate in the individual performance management program, and personal development planning.
·  Act as an ambassador for JLL by behaving consistently with cultural and ethical requirements and at least one year experience in related skills applicable to corporate mailroom operations.

 
EXPERIENCE

·  Experience with UPS, Federal Express, and courier services.

 
KNOWLEDGE, SKILLS, AND ABILITIES

·  Ability to adequately perform required job functions including being able to lift, bend and move in such a way as to perform job tasks in a safe and approved manner.
·  Knowledge of current postal codes, procedures, and regulations.
·  A high degree of accuracy is required for handling sensitive mail and proper routing of mail.
·  Good communication, organization and problem solving skills.
·  Great customer service
·  Ability to adequately perform required job functions including being able to lift, bend and move in such a way as to perform job tasks in a safe and approved manner.
·  Ability to work independently with little supervision.
·  Self-motivated; confident, energetic and flexible
