Corporate - Global Business & Document Services – Operations Supervisor – Paris

Role

GBDS Mail & Print Supervisor will provide high quality Mail/Courier and Print production duties in a timely manner to ensure all related tasks are managed to meet the LOB's requirements. To demonstrate pride and professionalism in all aspects of customer service, providing flexible and responsive assistance to clients and colleagues putting the customer / client first and foremost. The role requires a can do attitude with a flexible approach and using own initiative providing mail, courier and print solutions to the LOB's, working as a team to support the GBDS operation and other tasks within the General Services Department. The Supervisor will be responsible for the day to day staff and operational management, ensuring staff attendance is managed in accordance with the volumes and seasonal trends to ensure sufficient manpower and performance is maintained. The operation and assigned tasks are completed in full supporting the LOB's requirements within the services the operation provides. The Supervisor will be the first point of contact for the local and GBDS Management team, providing regular updates and working together to manage any known or potential issues that may impact the team or operations.

Operational efficiency - Print

· Ensure all aspects of job requisition / instructions and other relevant information is checked and correct prior to production
· To monitor and control the production workflow and allocate job request to operators to meet deadlines
· To operate all production equipment to the highest standards, in line with job specification or user specification including but not limited to:
· Xerox printer equipment
· Laminator, auxiliary machines and wire punch
· Demonstrate a expert knowledge of all software packages required to manipulate print files and colour calibration using a variety of software packages including:
· Free Flow Make Ready
· WFX
· Microsoft Office suite
· Adobe Acrobat
· To advise users and staff on the appropriate methods of production and provide technical support and advice where necessary
· To quality control all shift finished production work ensuring any mistakes are corrected in line with user specification before delivery to the end user.
· Gain a good understanding of client business and share this knowledge with all employees
· To monitor stock levels of consumables and paper and order accordingly to maintain minimum and maximum stock levels.
· To place service calls with print and finishing equipment suppliers when required

Operational efficiency – Mail

· Process external accountable deliveries received into JPMC from receipt through to the final delivery using the agreed audit trail method to capture recipient signatures for ownership
· X ray scanning of external incoming items received using onsite equipment (if applicable)
· Rough and fine sort of both internal and external mail items in preparation for delivery
· Internal delivery and collection of mail items at the agreed times
· Process outgoing mail and courier items utilising the agreed vendor services/software or hard copy request processes
· Utilise both internal and external systems to process mail related items

Continuous improvement

· To comply with the Procedures Manual, SLA's and H&S regulations
· Review client feedback and unit performance information

Administration

· Demonstrate an expert knowledge of the operational software packages
· To ensure all copies are accounted for and are reconciled with the meter readings
· To comply with the Procedures Manual and Service Level Agreement
· E mail, phone and face to face communications to respond to clients requests/questions
· Provide metric and spend data in the agreed formats in a timely manner
· Management of incoming and outgoing tracked/accountable items ensuring a full audit trail

Health & Safety

· Comply with recommended Health and Safety policies
· Be aware of and maintain safe working practices related to H&S and COSSH regulations 1988

Responsibilities

·  Day to day operational and staff management
·  Point of contact for the LOB's
·  Reporting and managing any issues before escalation
·  Maintaining a stream line operation with correct staffing through organisation of planned absence and restructure of un planned absence
·  Excellent time keeping and attendance across the JPMC campus
·  Flexible approach to ensure staff/service coverage, supporting changes to process/volumes or demands placed on the service
·  Client focused approach
·  Reporting into the local dotted line Manager and the Head of EMEA Distribution Services (GBDS)
·  Report any incidents or potential risks they impact the mail/courier or print services
·  Build internal working relationships with users and Lob's
·  Ensure the department and working area runs efficiently, work areas are tidy and free of unwanted/personal items
·  Offer mail, courier and print solutions to meet the clients request with a cost effective approach
·  Risk and controls measures are adhered too preventing any service issues/breaches
·  Any reasonable ad hoc duties as required to support the LOB within the GBDS remit/General Services
