Job description



Role Title : Senior Personal Assistant

Business : Commercial Banking IT

Role Purpose / Description

·
Be responsible for heavy calendar management for functional manager, requiring interaction with internal and external executives and assistants, as well as consultants, to coordinate a variety of executive meetings;

·
Communicate and handle incoming and outgoing emails on behalf of functional manager and respond where appropriate;

·
Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail as necessary for functional manager;

·
Promptly screen and handle the daily calls and inquiries and respond independently to routine issues and questions;

·
Make travel arrangements for functional manager;

·
Arrange meeting schedule and venue for the overseas senior managers visiting functional manager;

·
Produce letters, reports, memoranda, forms and schedules, utilising various PC-based software packages;

·
Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, handling courier and filing; and sometimes confidential materials;

·
Coordinate with Team Administrators to consolidate the overall department organization chart and staff contacts for the departmental Business Recovery Plan;

·
Receive and process information from business units, other departments, HR and coordinate with Team Administrators for various reporting and tracking such as annual leave, compensation leave, financial, operational and personnel changes, while maintaining confidentiality;

·
Organize internal and external events, including catering, locations, distribution of information and any gifts or handouts for the event;

·
Supervise, train, assign, and check the work of lower-level employees and temporary clerical staff;

·
Provide cover for peer colleagues and deputise for senior colleagues;

Qualifications :

Knowledge & Experience / Qualifications

· 
Bachelor's degree

· 
Experience in English working environment, have the ability to handle the daily English mail writing, speaking.

· 
Familiar with Microsoft Word, Excel, Powerpoint

· 
Faster learner
