Role Summary/Purpose

The job holder shall provide proficient and effective Administrative support to the Project Team and Subsea Projects department to ensure project goals are met. Primarily, the job holder shall manage the Project’s document management system in accordance with BHGE's internal procedures and specific Customer requirements.
Essential Responsibilities

• Liaising with the Project Manager, generate Sales Orders (SO) using the information contained in Customers’ Contracts or Purchase Orders (POs).
• Maintain SO due dates as advised by Project Team.
• Raise Pick and Pack Lists as advised by the Project Manager. Liaise with Shipping/Logistics teams as required.
• Create and maintain the Project Milestone Payment Schedule. Create and issue Milestone Certificates to client and expedite their timely return. Raise and issue Milestone invoices in conjunction with the Project Accountant.
• Create and maintain Project Variation Order (VO) Schedule. Assist PM with creation and issue of VO’s to client and expedite timely return. Add approved VO’s to SO and invoice when complete.
• Establish and maintain the Project filing system (both electronic and hard copy).
• Review client specifications for the particular project and identify any requirements that give rise to deviations from the standard process described in this procedure
• For EPC projects where the client specifications result in a deviation to this procedure, the DC/PA shall work to the Work Instruction generated by EPC
• Perform Document Control Quality check before submission of documents to client
• Review status of the documentation, including overdue actions, non-conformities and customer communications and generate periodic reports as per agreed project routine
• Support the Project Manager and Team in the generation and submission of the periodic Customer reports as
required by the Contract.
• Support the project Team in the preparation for SIT.
• Arrange, attend and minute internal and external project meetings.
• Raise requisitions for non-inventory Purchase Orders in the SSP5 system required by the Project Team.
• Input & maintain Project MEL/EDL information
• Other administrative and support activities as required by the Project Manager
Qualifications/Requirements

• Minimum of a Polytechnic diploma in engineering or a business discipline with at least 2-3 years of working experience preferred
• Computer literate and be familiar with MS office or similar applications
