Administrative and Plan Review Technician Assistant

Under the supervision of the CCC manager, this individual provides administrative support for all functions of building code plan review and permit processing that includes the coordination of plan log in, project set up and tracking, client status reports, billing notices. This position also interacts on a daily basis coordinating permit documents with a professional sub consultant skilled in the building permit application process.

This individual should possess the following attributes:

· Energetic and willing to do a variety of office tasks.

· Good Word skills, proficient with office software applications in digital format to include pdf, excel and word documents. This position will also be expected to learn company software programs used in our accounting, management and plan review programs.

· Exceptional organizational skills.

· Good mathematical skills.

· Ability to recognize potential problems and take steps to prevent.

· Attention to Detail a big plus.

Administration Assistant Duties

· Receive and log all incoming phone calls, e-mails or mail, including plan sets, related to plan review opportunities, status checks and service inquiries.

· Prepare and update Qualification statements, transmittal letters, inspection records and reports, Certificates, RFIs, contract proposals, client mailing lists and business/marketing publications and tools.

· Provide basic accounting services that includes the preparation and mailing of billing invoices, receive and distribute funds, input project costs and follow up with clients on aged accounts.

· Receive, document and distribute inspection requests.

· General duties include mailing, printing, faxing, scanning, copying, ordering office and field supplies and equipment and assisting with inventory.

· Skills necessary to succeed: great customer service, enjoy working with people, good organizational and written communication skills and a desire to solve problems.

Plan Review Management:

· Log in projects and maintain the log on a weekly basis.

· Calculate plan review fees and advised clients.

· Assign and rout plans to appropriate reviewers (Coordinate with plan review manager)

· Log out approved plans for additional reviews and approvals.

· Track project timelines based on contract agreements.

· Advise plan review staff of project billing numbers and timelines for completion. Follow up with staff regarding project timelines.

· Follow up with project clients regarding any delays or information

sharing necessary for the success of the project.

· Prepare and update Qualification statements, transmittal letters, inspection records and reports, Certificates, RFIs, contract proposals, client mailing lists and business/marketing publications and tools.

· Mail client letters

· Other Duties as assigned

Qualifications. High School Graduate or Equivalency. Clean Driving Record. US Citizen.
