Summary of the role:
This position provides administrative, operational and logistical support to the talent acquisition function as well as serves as liaison and coordinator throughout the employment and selection process in NORAM. Responsibilities include providing assistance and support by posting all jobs, scheduling and coordinating interviews, preparing offer letters and relocation documents, assisting with the recruitment process for permanent residency positions, preparing metrics and reports, maintaining the recruitment files and ensuring that new hire paperwork is received in a timely manner.
Main responsibilities:
1. ATS Administration:
- Update and maintain job postings through the applicant tracking system
- Create and maintain job template libraries
- ATS Administrator for NORAM Talent Acquisition team to provide access and work with Central HR and/or vendor to resolve functionality and operational issues
2. Reporting/Metrics:
- Responsible for generating and compiling weekly, monthly and quarterly recruiting metrics and reports such as Open Reqs/Filled Reqs/Recruiter Productivity/Source Effectiveness/ and other reports as needed.
3. Interview Process – Candidate Management
- Schedule face-to-face, telephone and video interviews.
- Arrange interview locations; i.e. conference rooms and travel arrangements when needed.
- Assist in conducting reference checks as needed.
- Review, logs and processes applicant expenses for reimbursement.
4. OnBoarding Process
- Prepare new hire checklists and PAD entries to ensure information is complete, accurate and submitted on a timely basis to HRIS/ SAP, IT and Facilities.
- Send I-9 notification emails in advance of new hire start date and follow up with new hires to ensure I-9 documentation is completed and in compliance within 3 days of start date.
5. Offer and Decline Letters
- Prepare and send offer confirmation letters to selected candidates and decline letters to candidates not selected for a position.
- Prepare new hire packets that accompany the offer confirmation letters to new hires.
6. Employee Referral Program
- Follow up on employee referral inquiries as needed.
- Verify amounts of referral award and request payments through payroll and maintain referral logs.
7. Other Duties
- -Provide logistical and operational support for job fairs and college recruitment as needed.
- Liaison with Corp Marketing to order marketing collateral pieces as well as giveaways for all job fairs and outreach efforts in NORAM.
- Maintains and orders supplies needed for employment process.
Requirements:
- Must be advanced with MS Word and Excel.
- Previous applicant tracking experience preferred.
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and priorities.
- Highly developed interpersonal and organizational skills.
- Must be able to work with confidential and sensitive information.
- Minimum of 3-5 years Administrative Assistant experience within the Human Resources field.
- Prior work experience in the Recruitment field is preferred.
- Ability to work extended hours when necessary.
Education:
College degree with concentration in the HR field or equivalent work experience
