Adecco Stevenage are currently looking for an Office Administrator to join their client based in Royston on a Fixed Term Contract role for approx 10 months. The successful candidate must be flexible and adaptable and have a some office Administration experience and enthusiastic manner.

Key Responsibilities

·  Manage the diary of the MD

·  Organise travel arrangements in the UK and overseas

·  Review, filter and prioritise email and paper correspondence

·  Ensure members of the Executive and Senior Management teams have coordinated diaries when involved in joint meetings

·  Greet clients and visitors professionally where necessary and ensure refreshments are provided as required

·  To co-ordinate agenda's and papers for board meetings, business reviews and MD meetings

·  To maintain soft and hard copy records of all company and board meetings

·  To act as a point of contact in the MD's absence

·  Distribute incoming post

·  Maintain updated organisational chart and telephone list

·  To maintain and update employee records using the internal database and manual records

·  Participate in the recruitment and selection process - liaising with external agencies and candidates to arrange interviews

·  To prepare job offer documentation and arrange medical and reference reports

·  Ensure that Payroll are informed of all starters, leavers, special payments/deductions by the appropriate monthly deadlines

·  To assist with organising the induction process, providing information to employees and managers

·  To schedule in meetings and monitor probationary periods in conjunction with line manager and confirm/take action as appropriate

·  To initiate and action items as required on the leaver's checklist for all leavers (resignation or dismissal)

·  Compress correspondence, letters and emails as required

Requirements

·  Good knowledge of office support functions including composing correspondence. note taking and coordinating a workload of multiple projects

·  Several year's experience in an Administrative or PA role

·  Highly proficient in the use of Microsoft Office, including Outlook, Word, Excel and PowerPoint

·  Ownership approach to completing tasks

·  A sense of initiative and willingness to take on responsibility

·  Excellent organisational skills with the ability to juggle and prioritise workload

·  Ability to work on your own initiative with minimal supervision

·  Effective communication and interpersonal skills

·  Reliable, confidential and flexible approach

·  Team worker, also able to recognise the importance of tact and discretion
