We are looking for a new General Administration Lead to join our European Logistics Centre (ELC) in Diegem.
Essential Functions / Duties and Responsibilities of the General Administration Lead include:
· ELC (European Logistics Centre) Records Management (RM) Program Site Leader
· Facilitate the execution and performance of the Records Management (RM) Program as per company's procedure and all other related RM documentation / standards.
· Develop update and implement RM policies and procedures locally
· Train and assist departmental Records Coordinators
· Organize and carry out internal Records Management Compliance Assessments, to monitor departmental compliance
· Conduct yearly WWRIM (World Wide Records Information Management) site assessment
· Ensure compliance with Legal Hold Notices issued by legal department
· Establish Vital Records protection
· BCP (Business Continuity Plan) Owner
· Plan owner – responsible for compiling the BCP (Business Continuity Plan) by coordinating with key stakeholders, producing and distributing the plans
· Perform yearly review / update of new information
· Train associates on BCP processes as required
· General Administration Activities
· Act as point of contact and interface with ELC Management in relation with different suppliers providing advisory / consultancy services
· Act as point of and interface with ELC Management in relation with different entities such as Tax Authorities on general aspects
· Act as point of and interface with ELC Management in managing general contracts and intercompany contracts
· Other Areas of Responsibility
· Support with general finance compliance activities as well as with finance monthly / quarterly closing activities
· Conduct the initial check of invoices from suppliers and manual payments
· Perform other general finance administration as required
Desired profile
Qualifications :
· Bachelor's degree
· Fluency in English
· Strong communication, training and presentation skills
· Previous experience in BCP/ Finance Compliance is an asset
· Knowledge of MS-Office, Visio is an advantage
· Knowledge of Quality and Document Control systems a plus
· Ability to work independently, take initiative and be proactive
· Coordination and organization skills
· Be persistent, persuasive and determined
