The Administrative Assistant will provide administrative and clerical support to the Fort Monroe project including construction projects that may be awarded as additional work to the project. Must be able to work with internal and external clients and other stakeholders to fulfill requests for information and reports and to organize and maintain the project's files. Knowledge of construction administration and / or utility systems would be an asset to this position. Generally the hours of duty will be 8 am to 4:30 pm Monday through Friday although there may be some overtime as required to meet deadlines, fulfill client obligations, or under unusual circumstances.

Performs clerical and administrative duties including typing documents, correspondence and reports for assigned department. Composes and initiates routine correspondence and memoranda. Edits and proofs documents for grammar, spelling, and clarity of expression, organization, and conformance to company specifications. Proofs art or graphics and verifies that art and text agree.

Enters data from various sources to maintain and update various databases and spreadsheets. Ensures data integrity by verifying input and calculations.

Creates, runs and distributes standard and customized periodic reports, to communicate follow-up requirements and to summarize reports, etc.

Works with assigned team to develop and maintain standard templates, descriptions and sections of presentations to maximize efficiency and reduce turnaround time.

Screens telephone calls and visitors. Answers basic questions and provides information. Takes accurate phone and verbal messages and ensures that messages are delivered in a timely manner.

Maintains organized computer and/or hard copy files for easy identification and retrieval.

·
Maintains inventory of departmental office supplies. Prepares purchase requests and coordinates with purchasing department as required.

Schedules & maintains calendar of meetings & travel itineraries. Occasionally coordinates associated arrangements. Occasionally plans, coordinates and makes arrangements for on-site and offsite Conferences, meetings and special events. Ensures accurate and timely communication to involved parties.

Assists others in facility / office as needed. May assist with departmental human resource functions, which may include preparation of confidential personnel information and new hire orientation.

Other duties as assigned

Profil recherché

Qualifications :

· 
High school diploma or general education degree (GED).

· 
Some vocational training, specialized course work or an Associates degree in a related field is preferred

· 
One to three years of directly related experience with knowledge of general office practices and procedures including departmental function, terminology and interrelationships.

· 
Computer skills including office software, preferably Google Suite, and other software programs.

· 
Must have and maintain a valid driver's license with a safe driving record in conjunction with policies and procedures.

· 
Must be able to demonstrate the ability to pay close attention to details, present good planning, organization, and time management skills.

· 
Must demonstrate the ability to work well and communicate with clients, management and the general public.

· 
Requires being self directed to carry out tasks and assignments in a team or individual environment.
