DEPARTMENT:
Dual reporting to HR Manager and Operations Manager in Erie PA.
POSITION PURPOSE:
The Administrative Assistant/Receptionist is a key support member of the Measurement Solutions Erie Leadership management team.Responsible for performing clerical and administrative duties in an office setting.
POSITION DUTIES:
· Sorting mail, filing, answering phones, greeting and directing visitors, scheduling meetings, and restocking supplies
· Work will include specific projects and tasks that involve use of Microsoft Word, Excel, Outlook and PowerPoint – projects may vary depending on manager requests
· Collects, assembles, analyses and summarizes statistics and information from a variety of sources as directed
· Prepares charts, graphs and tables for presentations
· Issues regular reports and ad hoc analyses following established procedures
· Routes or answers routine correspondence not requiring supervisor attention
· Deals with external sources such as customers, partners and suppliers to resolve non-routine problems
· Generate memos, emails and reports when appropriate
· Assume responsibility for maintenance of office equipment, including computers, copy machines and fax machines
· Maintain office/kitchen supplies by checking inventory and order items
· Respond to questions and requests for information
· Answer incoming calls and assume other receptionist duties when needed
· Implement and monitor programs as directed by management, and see the programs through to completion
· Shipping small packages/letters
· Travel arrangements and solve related issues providing assistance and guidance to employees as required
· Update eBoards and/or assisting marketing/communications
· Handle certificates of liabilities
POSITION REQUIREMENTS:
· Professional diploma in the discipline with a minimum 2 years of experience or 5 years of practical administrative experience
· Work is performed under general supervision and requires incumbents to exercise some independence and discretion
· Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
· Attention to detail
· Ability to analyze and revise operating practices to improve efficiency
· Detail oriented and comfortable working in a fast-paced office environment
· Exceptional communication skills
· Superior organization skills and dedication to completing projects in a timely manner
· Fluent in English
