Job Description

To provide complex administrative, communication and organisation support for Business Franchise teams.

• To cover continuous communication between team members from MKT and Sales Force teams
• Active support in preparation, approving and distribution of materials (preparation documents, communica-tion with agencies, approving processes, purchase orders, storage system and archive)
• Active support for preparation, approving and organisation:
• Local and national seminars organised by team
• National and international congresses
• Syposiums (standalones) and other educational events
• Active participant according to need (active organisation and leading the stand)
• To cover travel arrangements (accommodation, airtickets, transfers) for internal and external cus-tomers as required
• Samples: process coordination (preparing materials, orders, distribution and registration in system, activities overview, archiving)
• Support planning, arranging, meeting coordination and active participation (National Sales Conference, Follow-Up-Meeting, product launches (internal and external)
• Leading the agenda as required: copying, archiving documents, order office supplies and their distribution to team members
• Team meetings and trainings (organisation, arrangement, administration and active participation)
• Preparation of presentation, meeting minutes and data processing
esc.)
• Translation, presentation, datas and reports preparation
• Working with intercompany systems:
• SRM: filling the data to all purchase orders, including attachments to the system instead of team mem-bers
• VIM: responsibility for all invoices, including keeping track of disbursement of budgets
• NP4: approving system for materials and activities organised by team – administrator role in training for new team members (preparing data for approval of promotional materials and sales activities), the overall coordination process for the team.
• SDM: samples database. Administrator role. Coordination of filling data and controling.
• SRA: storage system. Communication with warehousman/logistic representative: arranging materials distribution as required (add to stock, shipping and distribution)
• To support management members including CPO head as required
• Active participant in company workshops and projects
• To support other departments and shareing data: contact updates and list od employees (reception, finance department, pharmacovigilance, logostic)
• To support MSO/training department: training for team members (other franchises)
• To arrange data box and info e-mail as required

Desired profile

Minimum requirements

• Required Education: ideally University degree
• Language knowledge: Cyech and English language - advance level (written and spoken)
• Other skills: active PC skills (MS Office)
• Ideally experience from similar position for minimum 2 years
• Organisational and communication skills
