The Position

Ensures the smooth operation of reception, carry out the day to day administration of the front office, provide secretarial support where needed. The contract for the related position will be fixed-term contract.

Main Activities

You will be responsible to:
• Keep an eye on who comes and goes at the same time an eye on the reception area and guests
• Maintain decorum and a high degree of quality communication between the various parties
• Provide several information over the phone or in person
• Make recommendations and handle complaints and requests in a professional and calm manner.
• Provide secretarial support when needed.
• Assist the accounting department in the scanning of invoices: specifically separating P.O and non P.O invoices, applying & scanning respective barcodes
• Represent the company, develop and maintain enduring, value-driven relationships with the stakeholders of the company (customers, suppliers, headquarters, other companies, public authorities etc.).
• Collaborate with all members of the company for the most efficient performance of respective tasks.
• Ensure horizontal and vertical information flow, cooperate with other departments and search common solutions in order to increase customer satisfaction and optimize internal procedures.
• Implement and observe the corporate policies, processes and Quality System and recommend potential improvements to supervisor and Quality Manager.

Requirements:

You bring the following skills and experiences to the job:
• Diploma in Secretarial studies or other relevant diploma would be considered a plus
• Previous experience in similar position would be considered a plus
• Fluency in English
• MS Office literacy
• Excellent communication skills
• Service/ client orientation.
