The Position

We are looking for an Office assistant to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

·  Responsible for administrative support to Country Manager in the overall management of the Affiliate.
·  Assumes the front-office duties: handling incoming calls and correspondence, hosting visitors.
·  Assist in the onboarding process for new hires
·  Takes care of the office maintenance and repair
·  Responsible for the internal communication, document management and in-house or off-site activities for the team
·  Liaise with facility management vendors, including cleaning, catering and security services
·  Scheduling meeting, appointments, internal events and business related travels.
·  Assists Marketing department in organization of customer events and preparation of marketing, promotional materials.
·  Establishes, maintains, manages the contacts & relationship with office suppliers and contractors.
·  Supervises the compliance of employees with Corporate and local processes.
·  Serves as a primary Affiliate contact for Safety Board matters and Regulatory Affairs.

Who you are:

·  Higher education in Business administration, Economics or other.
·  Proven experience as an Office manager, Front office manager or Administrative assistant
·  High level computer literacy (MS Office and accounting systems).
·  Effective communication, problem solving, time management and multitasking skills
·  Attention to detail and problem solving skills
·  Excellent written and verbal communication skills
·  Fluent in Latvian and English
