Job Purpose/Overview

The primary role of the Office Services Coordinator is to support both the Business Unit and Production site in the operation of the Chalfont facility. As a visitor’s first interface with the business, this position serves as a representative to Mars, and will serve as the first contact for building access. This person will provide a set of site services related primarily to customer service, daily office maintenance, mailroom management, supplies management, engagement, site custodial and other functions as necessary. This role supports multiple stakeholders in and outside the unit. The overall foundational effectiveness of the site and unit is dependent on this role.

Key Responsibilities

·  Manage stock levels for key factory service needs (Cleaning Supplies, Uniforms, tapes, shrink wrap, etc.)
·  Manage vendors supporting the unit (cleaning services, cafeteria supplies, vending services, food service suppliers, copier contractor, etc.)
·  Owns office budget by working closely with the Service and Finance staff in the areas of budget development and spend. Ensures appropriate PO’s are created for all office vendors for any services for the office.
·  Partner with IT Manager to ensure communication of visitors, new hires and overall as related to IT (i.e. Site phone system).
·  Be the face of Fishcare and first point of contact for visitors entering the Chalfont location.
·  Maintain site cleanliness of cafeteria, offices, bathrooms and misc areas

Context and Scope

·  Must have experience working with procedures and processes with attention to detail
·  Ability to multi-task, prioritize and self-motivate
·  Must be able to make judgement decisions in support of Mars, Inc. policies and the 5 principles with limited management intervention.
·  Intermediate understanding of PC’s and Microsoft Office (Outlook, Excel and Word).
·  Ability to work effectively in a team environment supporting others through coverage, problem solving, and day to day interaction
·  Verbal and Written communication skills
