Overview of the opportunity:
The Administrative Assistant will play a key role in providing administrative support to senior Global Tax & Legal professionals based specifically in the Global Resource Centre, primarily the Chief of Staff (Managing Director) and the Managing Director, Client Strategy Deployment Director. This role will also assist two other senior members of the Global Tax & Legal team in the Global Resource Centre with some of their basic administrative needs.
What you will do:

·  Basic calendar management for the Managing Directors, arranging internal/external meetings and booking rooms and catering, scheduling senior Partners/Directors across various time zones, agenda materials.
·  Preparing and tracking expense reports in a timely manner for both Managing Directors and 2x senior members of the team
·  Arranging all international travel including hotels, ground/air transportation for both Managing Directors and 2x senior members of the team
·  Coordinate schedules including prioritizing and resolving scheduling conflicts as required and acting as the frontline contact when the Managing Directors are out of the office.
·  Liaise with Senior Partners and Leaders in various KPMG member firms, steering groups and management teams. Build solid working relationships with their support staff.
·  Manage and maintain the Global Tax & Legal organization charts on a monthly basis
·  Be the primary point of contact for all operational and administrative aspects for leadership meetings and events in Toronto for Global Tax & Legal e.g. Town Halls, team socials, leadership visits from outside Canada.
·  Support the Client Deployment Strategy Managing Director with international distribution list maintenance, presentation/proposal/report/correspondence preparation and global client report preparation Administration and team operations support for 2x Managing Directors:
·  Booking international travel (flights/hotels/ground transport)
·  Processing/tracking expense claims
·  Arranging meetings including team meetings/leadership meetings in Toronto
·  Using OrgPlus software to maintain Global Tax & Legal organization charts
·  Update various Global Tax & Legal reporting tools Global Tax & Legal Client Strategy Deployment support:
·  Maintaining and updating various international distribution lists of KPMG teams, global accounts, lead tax partners, and clients
·  Assisting with preparation, gathering information, editing and/or proofreading documents such as correspondence, presentations, proposals and reports
·  Providing support with preparing client reports, such as downloading data, organizing data, and proofing the data Administration support for 2x Global Tax & Legal Senior Managers:
·  Booking international travel (flights/hotels/ground transport)
·  Processing/tracking expense claims
·  Content management of the Global Tax & Legal Operations intranet pages
·  Keeping the Global Tax & Legal Events Calendar up to date (including internal/external events and training courses)
·  Update various Global Tax & Legal reporting tools What you bring to the role:
·  College diploma or University degree and/or previous administrative assistant experience (minimum two years), ideally working with an international organization.
·  Strong working knowledge of Microsoft applications including Word, Excel, PowerPoint and Outlook. SharePoint experience an asset.
·  Ability to effectively communicate in a corporate and business environment both verbally as well as in email and other electronic means of communication.
·  Ability to interact with senior management, exercising diplomacy and good judgment.
·  Have the ability to plan ahead and manage work load in order to meet explicit deadlines. Keys to your success
·  Two years or more of administration, office management or related experience, preferably in a corporate environment
·  Long term career goal of learning more and maybe working in a professional services organization
·  Strong attention to detail with an aptitude for proofreading, suggesting alternatives and making modifications
