Facilities Manager - Facilities, Projects and Health & Safety
Responsibilities - Maintenance
• Maintaining a safe, clean and comfortable environment for staff.
• Assess the suitability of venues.
• Advise on facilities service provider management, in line with KPMG policies.
• Prepare a rolling monthly schedule of maintenance activities utilizing the FM schedule, project list and outstanding work orders by priority.
• Monitor execution of maintenance activities and ensure that the quality of the work performed.
• Suggests PPMs and other maintenance work in an organized manner ensuring good performance of existing facilities in the KPMG offices.
• Prepare and communicate the weekly maintenance technician work schedule to support facility priorities.
• Development or sourcing of external assistance where necessary.
• Produce regular reports as required by the Risk Committee and Facilities Management where necessary.
• Monitor, evaluate and review new and upcoming government regulations and ensure systems and practices are in place to meet legal compliance.
• Review and analyze daily, weekly or monthly occupancy data and ensure that the real estate requirements of the firm are within reasonable limits of the office capacity.
• Initiate and complete ad hoc maintenance requests to ensure all offices are kept in good condition.
• Initiate and propose projects to ensure all staff have adequate and up to par facilities for their day to day work.
• Review and Qualify vendors for Facilities services and ensure that they have the desired competencies and expertise to soundly complete their tasks.
Responsibilities - Projects
• Supervise all technical issues related to the facilities projects and prepare the necessary procedures and statements for proceeding actual execution on site. (PMV mobilization, legal licenses, etc.)
• Approve the established schedule of the project and make necessary adjustments for budgets and deadlines requirements.
• Approve the plan of work and the organization of the site facilities in order to meet agreed deadlines.
• Meet, and negotiate with all subcontractors and suppliers to discuss all related details and issues.
• Supervise and monitor duties on site to ensure that the work is progressing in accordance with the plans, specifications, and quality standards.
• Review and make recommendations to prepared work schedules and assigned / allocated resources, and ensure that they meet required deadlines and timeframe.
• Monitor progress on site and put in place corrective measures for any possible delays, and any derailing from the budget.
• Interpret the contract design documents supplied by the client/architect; cascade the information to all concerned parties on site.
• Confer with management, and tendering to discuss project specifications and procedures.
• Direct the installation, testing, operation, maintenance, and repair of facilities and PMV equipment.
• Monitor accuracy of execution and ensure that it is compliant with the plans, and drawings.
• Monitor overall quality control of the work (budget, schedule, plans, and personnel performance) and regularly get updates on project status.
• Directly responsible for the safety of all personnel in the project by ensuring that the project execution will be done according to all applicable health, safety, and environmental standards.
• Direct, review, and approve product design and changes.
• Give recommendations on the final results and project's stages to ensure KPMG's satisfaction while ensuring the project profitability.
Responsibilities - Health & Safety
• Develop, implement and maintain KPMG Health and Safety policy and procedures.
• Weekly site visits to review safety procedures and arrangements.
• Production of specific Health and Safety plans for events where necessary and ensure they are sufficiently robust for anticipated demands.
• To communicate the important messages from incidents and accidents as a part of the Lessons-learned process to all relevant parties.
• Ensure Health & Safety policy of KPMG Global is followed locally.
• Investigate accidents, incidents and near misses. Prepare incident reports.
• Audit service providers as per KPMG Health and Safety requirements.
• Plan and conduct fire drills every 6 months with staff and service providers.
• Produce regular reports as required by the Risk Committee and Group where necessary.
• Analysis of accident data to build prevention programs and contribute to capital requests to improve Safety and impact accident trends.
• Maintain Incident Management Plan for KPMG offices and actively participate in response to incidents.
• Review Life Fire and Safety reports and ensure compliance with required standards.
Qualifications:
Education
• Bachelor of Engineering/MEP/Sustainability/ Construction Management.
• PMP/ Diploma in Safety and Fire Engineering Diploma or NEBOSH, IOSH, OSHA Certificate preferred.
Requirements
• UAE experience preferred/Significant international experience.
• Understand approvals processes of: government, municipality, civil defense, relevant free zone authorities (Jafza, DIFC, DMCC, DSO).
• Must be physically able to work in conditions relevant to site operations.
• Must be willing to travel 50% of the time.
