Job description

As the Coordinator Operational Care Center (OCC) you are responsible to manage all day-to-day logistic activities required for the transportation of goods for export from origin until final destination. Hands on role handling all seafreight export shipments (including dangerous goods, special commodities, pharmaceutical upon certification).

Your Role

Your responsibility is to communicate with Seafreight carriers, co-loaders, SDS, LTL truckers, customs brokers and other vendors as well as Customer Care teams across Canada ensuring excellence in operations. You will provide solutions in case of any discrepancies, holds or delays in the movements of goods and will communicate with the Customer Care locations. You will develop and maintain strong relationship with internal and external customers. You ensure neutrality and high quality across all Canadian branches.

Your Responsibilities

-Co-ordinate and monitor the transportation and movement of the goods for export 
-Provide detailed booking confirmation to Customer Care Representatives and KN destination offices when applicable
-Prepare shipping instructions and any other necessary legal documents required for export: bill of lading, FDA, B13 ticket, certificate of origin, legalization, fumigation etc.
-Communicate and coordinate with Seafreight carriers, co-loaders, SDS, truckers, customs brokers and other service providers
-Arrange rush cheque payments and collect COD payments
-Data entry and ensuring high data quality
-Work closely with the Customer Care Locations and KN destination offices and proactively notify in case of holds, delays and deviations 
-Create and update internal account handling instructions (out of scope)
-Resolve problems and provide ongoing support to internal/external customers
-Perform credit check and resolve missing credit approvals
-Enter all cost and sell rates as soon as file is opened and prior vessel departure to ensure file profitability and on time billing
-Link QT quote into the system for each shipment 
-E- file all required documents 
-Monitor holds or discrepancies in the movement of goods
-Proactive response to service issues
-Adhere to established department KPIs to ensure internal/external customer satisfaction 

-Arrange for insurance coverage for cargo
-Gathering of claim documents and facts if claims is involved
-Ensure 100% compliance on Code of Conduct
-Other duties may be assigned by the Company

- Follow policies, procedures and standards to ensure compliance with all regulations pertaining to Pharmaceutical and Dangerous Goods products.

Your Skills and Experiences

- Administrative / data entry experience required
- 2 years’ experience in the Freight forwarding, logistics, transportation industry experience is preferred

- Advanced computer skills, including full proficiency with Microsoft Office Suite required
- Operational and market expertise of sea freight product / environment as well as incoterms and payment terms
- Certified in CIFFA, CITT or equivalent is preferred

- High School Diploma or Degree/Diploma in International Business, Finance, Transportation, Logistics is preferred
