Role Mission
The Receptionist Associate is responsible for the coordination and facilitation of all incoming calls to the switchboard. He/she will provide, as well as serving as a “Gucci Ambassador” by promoting the philosophy and values of the brand. Passion for the brand is conveyed through creating a branded, luxury client experience.
Key Accountabilities
· Answers all incoming calls in a timely fashion and direct calls to the appropriate and specific department. Transfer a caller to an associate's voice mailbox when associate is unavailable;
· Take and retrieve messages for various team members;
· Provides callers with information such as company address, directions to the company location, and other related information;
· Receives, sorts and forwards incoming and outgoing mail;
· Maintains and updates schedule for daily meetings;
· Assists with ordering, receiving, stocking and distributing office supplies;
· Welcomes and directs visitors;
· Handles a multi-line switchboard;
· Assists with preparing monthly reconciliation reports;
· Assists with other related clerical duties, such as photocopying, faxing, filing and collating;
· Assists with incoming charge sends and ensures that they are processed in a timely manner;
· Assists with verifying phone orders for all associates;
· Verify inventory of items for clients using JDA;
· Organize, co-ordinate meetings, in the conference room;
· Monitors and maintains office equipment;
· Ensure reception area is clean, neat and well-maintained.
Desired profile
Qualifications :
Job Requirements
· Minimum of a high school diploma;
· Two years of administrative experience, preferably working at a luxury brand;
· Flexible schedule, ability to work retail hours that include nights, weekends and holidays;
· Ability to handle a multi-line switchboard;
· Ability to lift files, and bend or stand as necessary;
· Ability to communicate effectively, both through oral and written communication;
· Able to type at least 40 wpm;
· Familiar with Microsoft Outlook, Excel, Word;
· Ability to communicate in a second language is strongly preferred.
