08.00 - 16.30, Mon-Fri with 1 x 30 minute break. Occasional unsociable hours'attendance will be required to support night-shift Partners for which additional hours will be paid.

Duties & Responsibilities

Magna Park is looking for an experienced administrator to join the team. The successful candidate will contribute fully to the successful achievement of campus maintenance office objectives, resulting in the seamless delivery of administration supporting maintenance, engineering and project functions on-site
You will be supporting a large department of engineers and technicians who deliver a 24-seven campus operation. As an Engineering Administrator you will be assisting in many core duties which are critical to the operation and therefore the ability to prioritise your workload is a must for the successful candidate.
Duties range from managing planned and reactive workloads, ordering materials, monitoring planned activity progress for weekly and monthly reporting periods, auditing technical compliance, communicating with suppliers/service providers and managing team rotas, shift cover and holiday bookings.
You will also need to be able to analyse and report on monthly finance data providing this in a presentation format.

Job Requirements

This role is suitable for someone with considerable integrity and a 'can do' attitude, supporting the Campus Management and project team. The role requires a large degree of flexibility and some weekend working will be essential. You will have a keen eye for detail and be required to work on your own initiative. Due to the nature of the role, you will be expected to communicate with and constructively challenge at all levels. There is a high level of confidentiality in this role and you will need to understand the need for discretion.
Key duties of the role will include:-
- Plan and prioritise workload through use of Google Mail and Cloud-based Engineering Scheduling applications, remaining flexible to adapt and support with ad-hoc requests.
- Prepare and collate information for daily, weekly and period reports.
- Ensure all electronic filing and paper filing remains up-to-date.
- Remain up-to-date with systems changes and cascade relevant information.
- Responsible for Engineering office and support function's visual environment ensuring notice boards are kept up-to-date reflecting current activity and performance SLA's are displayed.
-Liaison with site cleaning contractor representatives, measuring performance and ensuring SLA'S are met.

Required essential experience skills and qualifications

- Extensive IT skills, including proficiency with Microsoft Excel, Google, Engineering Scheduling platforms and job-reporting portals.
- Financial reporting platforms such as Oracle, able to conduct research in a methodical manner and feedback information in a well-presented format.
-Strong Stakeholder management at all levels
- Excellent communication and interpersonal skills
- Ability to work within a fast-paced office environment
- Excellent attention to detail
- Being attentive, able to host visitors, contractors, consultants and external bodies

Required desirable experience skills and qualifications

- A-Level Maths (or equivalent Level 3 Qualification)
- A- Level English (or equivalent)
- Able to learn quickly and develop solutions in a logical manner
- Health & Safety qualification an advantage
