Project Coordinator with Workfront Administration

Job description



You will play a pivotal role in the administration of the Workfront project management tool within the shared services group and supporting other lines of business.  You will work closely with teams to both maintain the existing platform, troubleshoot issues within the platform and also proactively drive improvements and optimization in the way we collaborate, plan and execute projects and programs. The role will partner closely with Workfront group admins/project managers on process improvement initiatives as well as ongoing tool updates and overall maintenance. Another critical component of this role is around reporting and providing insights around Workfront on boarding, adoption and engagement.

In addition, as project coordinator for the PMO you will also provide administrative project support and coordination for projects within the program management office portfolio through the following activities:
    Attend meetings, compile meeting minutes 
    Assist Project Management with tracking, updating and reporting on project related activities. 
    Updates and maintains technical databases and generates reports. 
    Tracks and compiles project information and prepares status reports for management. 
    Reviews and reconciles department and project budgets. 
    You may also perform other administrative functions as required.

Key Workfront responsibilities include:
Workfront Administration & Support
    Perform daily system administration duties and activities such as add/update/manage users, groups, teams, access levels, among others to a determined service level agreement (SLA).
    Responsible for building, updating and maintaining reports & dashboards.
    Responsible for creating and updating custom forms as well as communicating changes to requests and/or impacted groups.
    Responsible for providing support around any Workfront technical issues and for communicating resolution to impacted groups.
    Oversees and coordinates upgrades to existing applications and patch management to ensure minimal disruption to users.
    Creates and maintains comprehensive documentation of systems and processes.
    Monitors system back-ups ensures back-ups are completed as necessary.
    Triage, troubleshoot and resolve incidents according to standard operating procedures related to Workfront.

Workfront Optimization
    Collect Workfront requirements and help assess client business processes.
    Configure Workfront objects (custom forms, project templates, programs, portfolios, reports, dashboards, approval processes, milestones, email notifications, statuses, job roles, teams, groups, layout templates, filters, views, groupings, etc.)
    Test configured objects - Support deployment efforts
    Facilitate training on the new configuration
    Perform regular system audit and clean up to improve overall system organization in coordination with the e-PMO.

Workfront Engagement
    Responsible for identifying and conducting training in partnership with Marketing PMO and Workfront group admins.
    Provide best practice guidance working alongside Workfront group admins.
    Provide recommendations to management for improving existing Workfront usage/user experience as well as help drive user adoption.
    Ability to build strong rapport with members of the groups you support, in addition to partnering with functional leadership and/or key vendor contacts
    Participate in continual efforts to improve processes and increase productivity
