Marketing Administrator

Reporting to the Team Lead of Marketing & Operations and the Practice Lead of the Tenant Representation Group, this role includes daily real estate administrative support in a fast-paced environment. As a Brokerage Assistant, you will provide sales, marketing, and research support along with general administration to our brokers and clients. Your responsibilities will be an exciting mix of providing presentation support, listing and offer preparation, property marketing and client reporting, conducting market research and transaction administration, all while coordinating promotional and post sales marketing materials (under the direction of our marketing team).

The ideal candidate will have a minimum of two years’ professional working experience. This role is suited for someone who is has an interest in commercial real estate, client services and sales.

The key responsibilities include, but are not limited to:

Administration & Research

·  Work closely with the Team Lead of Marketing and Operations to develop understanding and working knowledge of the company’s business, core audience and best practices
·  Work closely with agents on various initiatives and special projects
·  Provide administrative support for internal and external correspondence including file management, scanning, photocopying, and organizing and distributing marketing materials
·  Assist in deal-making process as required: edit offers lease/Letters of Intent, track offers in progress and follow through on execution; coordinate flow of documentation and information between company and clients
·  Maintain and review property listings and manage expiry dates and prepare required documentation
·  Maintain records of correspondence for property listings with agents and update client reporting as required
·  Create, review, and/or prepare market surveys, tour books, or presentations
·  Liaise with research team to create demographic materials
·  Schedule meetings, appointments, and conference calls
·  Proofread copy for spelling, grammar and layout making appropriate changes; responsible of accuracy and clarity of final copy
·  Conduct market information research through various sources including third party databases such as Altus and CoStar
·  Any other reasonable duties and responsibilities assigned

Marketing

·  Organize, create, prepare and produce customized marketing materials as well as client-specific packages, presentations, and proposals.
·  Assist with preparation, creation and/or assembly of marketing materials including:
·  Brochures & flyers
·  E-mail blasts and campaigns using an email marketing software
·  Signage
·  Direct Mailers
·  Tour packages and books
·  Pitches and RFP responses
·  Update listings on JLL’s website and other locations as advised
·  Assist in the creation of layouts and graphics for bespoke websites, pitches and other assignments as they arise

Qualifications

To perform this job successfully, an individual must be able to perform each essential task at an above average level. The requirements listed below are representative of the knowledge, skill and/or ability required.

Must Have

·  Minimum of 2 years of professional working experience
·  Diploma or Degree in Marketing, Graphic Design, Communications, Business Administration preferred and/or 2+ years of professional working experience
·  Advanced knowledge and efficient use of business suite computer programs including MS Office: Word, Excel, PowerPoint, Outlook
·  Mid level skills using Adobe Creative Suite: InDesign, PhotoShop, Illustrator, and Acrobat
·  Possess characteristic traits of independent thinking, self-starting initiative while working well in a team-oriented environment
·  Must be able to handle flexibility in task management while having a keen eye for detail
·  Ability to read, analyze, interpret and create general business documentation
·  Ability to write reports, business correspondence and format presentations
·  Excellent and effective verbal and written communication skills
·  Excellent proofreading and editing skills
·  Ability to multi-task, utilize effective time management skills, and be able to recognize and respond to time sensitive issues and tasks
·  Ability to work efficiently under pressure with multiple timelines and with limited direction/ supervision
·  Ability to maintain discretion and confidentiality regarding personnel and industry-related matters
·  Attitude — positive, always seeking to better our team, reaching out to bring value
·  Team player – able to work with the Team Lead to ensure timely task and deliverable execution

Nice to Have

·  Prior experience in real estate, specifically in the commercial sector
·  Mid to advanced level skills in Adobe Creative Suite (Photoshop, InDesign, Illustrator)
·  Knowledge of web design
·  Knowledge of Google Earth Pro, Salesforce and Hootsuite
