Position Description
The Management Support Officer will be responsible for the administrative and organizational management of the office. The ideal candidate will be well organized and flexible, and will enjoy the administrative challenges of supporting a small office of diverse people and programs. This position requires frequent communication and coordination with the staff in the headquarters office presents in France.
Responsibilities
 Undertaking the tasks of receiving calls, take messages and routing correspondence
 Processing payroll, which includes ensuring vacation and sick time are tracked in the system.
 Managing the inventory of office suppliers, ordering additional suppliers as needed and ensuring that costs are appropriately managed.
 Welcomes guests and customers by greeting them, in person or on the telephone answering or directing inquiries.
 Assist the Country Manager with his daily schedule and duties, to include managing his calendar, commitments, and travel arrangements (planning itineraries, developing agendas and meeting materials, reporting expenses, etc.).
 Performing file audits to ensure that all required employee documentation is collected and maintained.
 Updating and maintaining employee benefits, employment status, and similar records.
 Billing, payments & activity reporting to Paris headquarters.
 Fleet management & Insurances.
 Assisting the Account Manager & Recruitment Officer on all administrative aspects
(Documentation, commercial offers, translations…).
Requirements and Qualifications
 FR/UK.
 Solution minded with a real can-do mentality.
 Able to work independently and take initiative.
 You are well organized, have excellent organizational skills and attention for detail.
 Discretion and confidentiality are very important aspects.
 Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
 Able and willing to assist co-workers in the development of their own professional skills in order to ensure the team’s success.
