Job description

Within your role as EA & Bid Support at Promontory you will:
·  Provide support to a minimum of three Managing directors (including holiday and sick cover for Head of the European Practice EA) including:
·  Client liaison from senior executives to their support teams to arrange opportunities for MDs to meet new and existing clients
·  Diary management - Manage and maintain an overview of the diaries in order to drive the effectiveness of working time and business priorities and other competing needs for internal and external meetings
·  Making travel arrangements: co-ordination of flights, accommodation, ground transportation, conference logistics
·  Booking meeting rooms, conference calls, refreshments, testing or setting up presentation equipment
·  Preparation of meeting agenda and presentations
·  Perform special research and analysis when required, gather and evaluate data, analyse strategic operational business development and other information and prepare reports and recommendations
·  Taking minutes and supporting during internal and external meetings, including organising actions and driving them to completion on a timely basis
·  Expense reporting
·  Support for recruitment including scheduling interviews and liaising with in-house recruitment team
·  Maintain various documents, including trackers and client lists for 2 separate teams
·  Work closely, and collaboratively, with other Executive Assistants within the company
·  Act as a gate keeper key point of contact amongst executives, employees, clients and other external partners both in person and over the phone
·  Provide Bid support including:
·  Driving the creation and submission of bid documentation
·  Liaising with internal and external stakeholders to ensure that bid documentation is submitted to proposed deadlines
·  Managing tender submissions, amendments, supporting documentation, providing clarifications and assisting with Q&A
·  Agenda and meeting setting to ensure bid completion
·  Track bid progress
·  Management of any associated bid portals
·  Administration of operating and consultant contracts
·  Budgeting and managing budget requirements
·  Relationship management to ensure efficiency and common goals are achieved
·  Maintain pipeline and business development activities

Required Technical and Professional Expertise

·  Demonstrable senior experience working as an Executive Assistant to C-Suite level internal clients
·  Experience dealing with senior clients and navigating to the right stakeholders to get meetings with new targets
·  Previous Bid support experience including working with senior stakeholders both internal and external
·  Ability to prioritise and complete multiple tasks to deadlines
·  Superior writing and editing skills
·  Ability to handle complex information, solve problems, and manage multiple tasks.
·  Effective communication skills with clients, and within all levels of the organization.
·  Ability to establish and maintain positive relationships.
·  Strong alignment to integrity and ethics.
