Job description

Role Mission

The role of the Marketing and Communications Assistant is to support the Vice President, Marketing and Communications with daily activities, which include but are not limited to: managing schedules, calendar requests, department reporting and communication, meeting preparations and administrative and operational tasks. The assistant works closely with the four marketing and communications divisions in the management and reporting of their monthly activities and preparing monthly departmental reporting documents for US and WW corporate offices. The role serves as a liaison for the Gucci America Marketing and Communications department and the Gucci Worldwide/international marketing and communications offices.

Key Accountabilities

Manage Vice President's calendar and meeting requests;

·
Maintain department calendar and timelines;

·
Prepare monthly presentations and reports summarizing department activities;

·
Support department divisions to oversee financial reporting, assisting with budget forecasting, and liaising with the finance department;

·
Create and manage materials for department special projects, events and initiatives;

·
Update and meet with the assistant to the executive office to inform them of all Marketing and Communications events and initiatives;

·
Schedule meetings for Chief Marketing Officer when in New York, as well as maintain his/her daily schedule;

·
Aid international team members, and when in town arrange travel and logistical;

·
Work with the WW offices to coordinate fashion show logistics and meetings;

·
Assist as needed at department events, coordinating interdepartmental logistics for brand image events;

·
Secure and prepare meeting locations in and out of the office including catering needs, AV support and furniture set-up;

·
Organize office activities and meetings with local and international colleagues;

·
Organize video conference meetings with international offices;

·
Organize Vice President's domestic and international travel (cars, airfare, hotels, other);

·
Create and process expense reports for Vice President;

·
Manage DayForce and Concur platforms for the department;

·
Organize daily magazines, newspapers, calendar, and reports;

·
Order department supplies.

Desired profile

Qualifications :

Key Requirements

· 
College degree preferred;

· 
1-2 years of experience in Marketing, Retail, Special Events, Public Relations, or as an Executive Assistant;

· 
Excellent written, verbal and presentation skills;

· 
Strong proficiency in Microsoft PowerPoint and Excel;

· 
Strong interpersonal and relationship-building skills;

· 
Appreciation and understanding of the luxury fashion industry and the Gucci Brand values.
