Role Summary/Purpose
The Administrative Assistant/Office Manager will provide administrative and clerical support to the Product Management team and Austin office.
Essential Responsibilities
In addition, the Administrative Assistant/Office manager will :
· Proactively coordinate daily calendars while overseeing managers and attendees availability
· Schedule meetings and manage logistics
· Make / change travel arrangements including both domestic and international travel
· Generate letters, reports, memoranda, graphic presentations, general correspondence and
other documents as assigned
· Review expense accounts and related administrative documents requiring GM approval
· Organize and maintain an efficient filing system for correspondence, records, reference data,
reports and sensitive document
· Primary organizational contact to identify the necessary credentials to allow the proper access
to employees, both US and Foreign Nationals, as well as visitors, in order to protect GE
proprietary information and comply with government regulations
· Prepare, track and coordinate mail and shipments for the organization
· Manage new hire working space, office moves, update floor plans, report building issues and
communicate as necessary
· Maintain office equipment, report any issues or request service to keep equipment operational
· Help coordinate office volunteer and engagement events
Assist with bill payments for Austin site
· Custodian of organizational resources
· Other duties as assigned by the GM
Qualifications/Requirements
Basic Qualifications
· High School Diploma / GED
· A minimum of 2 years of secretarial, clerical or administrative assistant experience
Eligibility Requirement
· Legal authorization to work in the U.S. is required. We will not sponsor individuals for employment visas, now or in the future, for this job
Desired Characteristics
· Strong computer skills with proficiency in Microsoft Applications (Outlook, Powerpoint,
Word, Excel, etc.)
· Strong interpersonal and organizational skills
· Working knowledge of GE organizations, policies and procedures
· Experience in handling phone systems and other office equipment as required
· Experience supporting Engineering organization
· Ability to maintain confidentiality
