                       The Role:Administrative Assistant

Purpose

The Administrative Assistant supports the ongoing operations of ENA’s wind development team, through the execution of a variety of short and long-term tasks.  This individual is timely, consistent, reliable and has a positive approach to their work.  The Administrative Assistant reports directly to the Head of Wind Development, but may be assigned tasks and special projects by other members of the team from time to time.

Essential Job Functions

·  Prepare landowner payment letters to send with annual payments
·  Process check requests and send documents for recordation
·  Sort and distribute incoming mail
·  Mass mailing for all projects for Project Managers and Land Agents
·  Maintain files and documentation thoroughly and accurately, in accordance with company policy, including creation of hard files
·  Monitor and maintain office supply inventory, scan documents, assist with meeting preparation and coordination, and other administrative duties as assigned
·  Invoice management, including review, setup, payment and resolution of discrepancies and related issues
·  Process and track expense reports
·  Monitor accounts to ensure payments are up to date
·  Generate purchase orders, support others with the generation of purchase orders, and address vendor payment issues with ENGIE Accounting department
·  Maintain vendor files and correspond with vendors and respond to inquiries
·  Assist with month-end financial closing reviews, including supporting documentation for internal auditing activities
·  Sort, code, and match invoices to checks, obtaining all signatures for checks and distributing checks accordingly

Essential Physical Abilities

·  Ability to meet highest attendance requirements
·  Ability to communicate effectively, both written and verbally.
·  Ability to handle multiple assignments on a timely basis with a high degree of accuracy.
·  Ability to use personal computer, calculator, etc.
·  Could involve some lifting.

Education/Experience

·  Minimum of 2 years’ experience in an administrative role
