Responsible for the Facility Management of Amadeus Asia's Bangkok site as outlined in the Key Accountabilities and with the overall objective of ensuring the best possible physical workplace within Amadeus corporate guidelines and available resources. This role requires technical and general knowledge of maintenance, operational efficiency, negotiation skills, space planning, basic financial analysis, etc. The role requires a possitive can-do attitude, team spirit, good stakeholder management, and flexibility (work out of office hours will be required from time to time due to the nature of the role)

Responsibilities:

Facility Management

+ Preventive and general maintenance of office infrastructure, including electrical works, airconditioning, emergency hardware, access controls/software, security, plumbing, lighting, etc. Respond effectively to emergencies as they arise.
+ Preventive and general maintenance of Server Rooms, including temperature and humdity control, UPS, Security, Fire Suppression, cabling, Interfloor fiber optics, etc. Respond effectively to emergencies as they arise.
+ Preventive and general maintenance of furniture, fittings and the like. Respond appropriately to urgent cases as they arise.
+ Direct responsbility for relevant vendor negotiation and management, especially Maintenance & Service Level agreements, in accordance with Amadeus Purchasing Policy and in coordination with Regional Purchasing.
+ Manage and supervise contractor's work for all the above as well as office renovation/reorganisation. Check that work is completed in a satisfactory manner and follow up on any deficiencies detected
+ Contact point with landlord & building management for all the above

Poperty Management

+ Support GRE (Group Real Estate) in planning future space needs in line with business objectives and expected organisational evolution, as well as in the the best allocation and utilisation of space through renovation or reorganisation within current premises.
+ Support GRE in the planning for the most suitable physical working environment in accordance with the Amadeus Workspace Guidelines, local regulations, and other relevant references.

Health & Safety

+ Ensure compliance with Health & Safety requirements and all relevant regulation
+ Responsible for Fire Safety programme (fire wardens, equipment, evacuation procedures, staff awareness, fire drill, etc.)

Business Continuity Champion

+ Assist the site's Business Continuity Coordinator (BCC) in all Business Continuity (BC) activities.
+ Liaise with Business Unit Coordinators (BUC) to ensure documentation is appropriately developed and maintained: Business Impact Analysis (BIA), Business Unit Plan (BUP), etc.
+ Coordinate BC activities: awareness, training, testing, rehearsals, etc.
+ Support the BCC during incidents/local crisis.

Communication, Enviromental and Others

+ Ensure staff and other stakeholders are properly informed in advance about maintenance, renovation and other activities that my impact them. Ensure all these activities, except of course unforeseen incidents, are always planned and undertaken with the minimum disruption and putting in place contingency plans where necessary and possible.
+ Proactively come up with environmentaly friendly initiatives that help advance our commitment in this area (as demonstrated by Amadeus' inclusion in the Dow Jones Sustainability Index - DJSI)
+ Perform appropriate stock management, including off-premises warehousing, of furniture & fittings and other relevant items as required by Finance Department. Ensure proper documentation is provided to Finance in a timely manner in order to book/retire assets, open/reverse accruals, etc.
+ Responsible for Enviromental, Facility and other such surveys requested from HQs
+ Assist with the annual Budget and its regular follow-up
+ Ensure close co-ordination with Admin Department to deliver as seamless and efficient services to employees and other stakeholders
+ Work on other projects and adhoc tasks as directed by Management

Requirements:

Education: University level or equivalent would be a plus

Relevant work experience: 3 years of demonstrable Facility Management experience, including technical aspects, a must
