JOB PURPOSE/ROLE

KEY RESPONSIBILITIES

As PMO working for the Allianz Technology B2B2C – Direct & Innovation, you will:

Be responsible for all aspects of budget tracking:
- Assist Primary Service and Delivery Managers to prepare the yearly budget and ensure correct input in the Plan in SAP and coordination with other Allianz Technology pillars
- On a monthly basis, track budget Vs Actuals Vs forecast for all cost categories (Internal staff costs, External staff costs, HW/SW costs, Depreciation) and activity types (RUN, Change, On-Top, Transformation)
- Analyze deviations and follow-up corrective actions to be done in SAP
- Prepare on a monthly basis the Provisions report

Assist Primary Service and Delivery Managers in service delivery and proper project management:
- Develop a good understanding of the program and projects
- Support the Primary Service Managers to prepare the project briefs, submit them to PPM team and follow-up the approval process.
- Prepare the orders forms for on-top projects and follow-up the signature process
- Prepare the invoicing Report for on-top projects
- Prepare the re-invoicing report for transformation projects
- Prepare a monthly report for the projects economics (Budget, Actuals, Forecast) to be reviewed with PSM
- Update the PPM SharePoint with the Project actuals and status.

Ensure proper administration of the Project Management tool:
- Update new resources and new projects
- Follow-up timesheets completion by all resources
- Prepare reportings for project managers and delivery managers

Cooperate closely with other Allianz Technology B2B2C cross-functional teams (Procurement, IT Controlling, IT service desk)

Purchasing process and contract management:
- Preparation of quotation request in close collaboration with the PSM and supplier
- Submission of contracts, invoices and timesheets in the Allianz systems/SAP
- Starting the approval workflow and tracking status of the contracts
- Validation and reconciliation of invoices received from providers and handling corrections of the records
- Keeping track of invoices status of payment

Onboarding and logistics:
- Manage the onboarding process for new resources (request account and PC preparation, request badges…)
- Ensure right initiation of the new joiner to Allianz technology tools
KEY REQUIREMENTS/SKILLS/EXPERIENCE

Strong analytical and problem solving skills
IT background / Experience in IT systems implementation
Excellent skill in MS Excel, MS Powerpoint

Skills and Competencies
Fluent in English and French
Result oriented and attention to details, rigor
Highly self-motivated and reliable with a degree of confidentiality and courtesy
Strong verbal and written communication skills
Ability to work independently and as part of a team in international environment
Ability to foster relationships
