Job Summary
To provide full administrative & clerical functions within AM dept., managing visitor & customer visit arrangements, to include training, briefings, factory tours, travel & hospitability arrangements. To facilitate the welfare of visitor/customers & assist with development of relations.
Brief Description (Essential Job Functions and Responsibilities)
· To co-ordinate & administer the schedules for visitors & customers.
· To co-ordinate and administer visitor & customer travel & hospitality arrangements, including evening hospitality arrangements.
· Arrangement of travel bookings for both the Additive Manufacturing and Inkjet department.
· To provide comprehensive administrative support to RPL & Ricoh Group senior management & external parties - book meetings, take & distribute minutes.
· To facilitate preparation towards major planned AM events.
· To co-ordinate & ensure AM preparation for daily visitor arrangements are in place.
· Assist managers & engineers in AM Engineering developments, maintaining dept. procedures & other administrative tasks.
· To keep the Additive Manufacturing Master Log up to date showing any requests for quotations, orders, part despatches, invoice requests.
· Arrangement of shipment to OpCo's/customers (includes packaging and shipment request form).
· Analysing customer requests and data and providing customer quotations based on requirements.
Hours of Work
· Monday to Thursday 8.15am - 5.15 pm, Friday 8.15am - 12.45pm (38.5 hours per week).
· Flexible holiday pattern.
Requirements
· NVQ Level 3 in Administration / A-Level standard education or equivalent
· Three years' experience in administration
· 2 years' experience within a similar role
· Excellent communication skills
· Good working knowledge of computer software, programme & application
