Job description

Key tasks

Overview of duties:
• Oversees the Front Office department operations at night.
• Delivering the highest quality to customers, whilst adhering to all legal rules, regulations and guidelines of the Hotel.
• Responsible for the hotel once the daytime managers are off duty ensuring the safety of property and people.

Main Duties:
• Welcome guests who arrive late.
• Provides a warm and personalised welcome to all guests
• Handles the arrival and departure processes for guests, ensuring they take as little time as possible
• Handles phone calls and manages the reservations schedule
• Follows up any guests request (wake-up calls, taxi, breakfast room service etc)
• Writes a report on activities and incidents that occur during the night
• Respects the procedures governing invoicing and cash operations
• Is responsible for the reception’s cash holdings
• Establishes the closing and nightly activity reports for the hotel management
• Applies the hotel’s security regulations (in case of fire, night patrols etc)
• Provides comprehensive information about hotel services, places of interest, restaurants, doctors, sightseeing tours and any other information of interest.
• Provides guests with information on outside facilities.
• Takes responsibility for receipt, storage of baggage for guests.
• Remains aware of all activities taking place in the hotel; familiar with the daily function sheet and VIP arrivals.
• Organises, supervises and performs delivery of all newspapers to Hotel guests, charge where necessary.
• Supervision of lobby area with special focus on general security of the guests and Hotel.
• Performs related duties and special project as assigned.
• When rooming the guest briefs guest on usage of light switches, TV, radio, minibar, AC controls telephone, facilities, Internet facilities etc. (Rooms Procedure Check List)
• Provides shoe cleaning service to Hotel guests as required
• Maintains a minimum, but comprehensive stock of stationery for the department.
• To be able to competently recount the hotel story to clientele.
