Job description

Job Summary
A People Mobility Service Delivery team member is responsible for providing day to day mobility services. These services include and are not limited to: immigration & social/income tax compliance; health insurance, finance mobility (Tax Cost Estimate, accruals, true-up), assignment documentation and cross border policies implementation, and Destination Services. Under the leadership of the People Mobility GU lead, the People Mobility Delivery teams are responsible for contributing to the end to end mobility process management for assignees and engagement leads.

Generally, the People Mobility Service Delivery team members are experts in mobility operations and can be specialized in one or several of the following services listed above. The People Mobility Service Delivery Analyst will support his/her lead and team members in an area of mobility operations expertise.

Key Responsibilities
· Immigration Operations:
· Understand & Implement the Immigration positions set up by the Employee Tax and Immigration Leads
· Manage the end to end Immigration processing to drive compliance with applicable immigration law (highlight any change in process to AEE Dalian team)
· Liaise with Immigration vendor to ensure timely and efficient immigration documents delivery

· Income taxes and social insurance (tax) Operations:
· Understand & Implement the Income and social tax positions set up by the Employee Tax and Immigration Leads
· Manage the end to end income and social taxes to drive compliance with applicable tax law which includes:
· Ensuring tax compliance and tax equalization is properly managed by AEE Dalian team
· Ensuring standard positions for income & social taxes and necessary tracking and payment are properly implemented in each country liaising with AEE Dalian team and other relevant departments (e.g. payroll)
· Liaise with Tax vendor to ensure smooth tax season management: preparation of tax returns, tax equalization, payment of taxes, proper & timely communication to assignees

· Finance aspects of mobility
· Ensure standard TCE and accrual procedures are developed with the AEE Dalian team to enable delivery to finance:
· TCE's are accurate & delivered on time to Cross Border Finance for booking
· Close timely the host & home tax matters to ensure timely true-up

· Assignment documentation & policy implementation
· Set up the Cross Border Agreement templates for all cross border policies
· Ensure AEE Dalian team customize agreements for countries
· Implement cross border policy changes
· Alert supervisors of any policy deviations and take initial actions

· Destination Services
· Help Assignment Manager to coordinate relocation supports from external vendor
· Review monthly invoice from relocation vendor and work with Workplace to settle payment in timely manner
· Support annual review of accommodation budget with team members and Workplace

· Non Complex Engagement Delivery Services
· Provide timely information at proposal stage and during engagement life cycle which includes:
· Providing real-time immigration analysis and advise for in-scope client engagements to make timely and effective staffing decisions
· Providing real-time tax planning opportunities to reduce tax differential costs
· Maintain close relationships with engagements to anticipate staffing issues and answer questions
· Ensure use of standard documentation and promote self-service tools for non-Complex Engagements and cost effective solutions

· Other
· Ensure AEE Dalian team to report assignee information to MyNumber vendors
· Report Inbound assignees move to HelloWork
· Process necessary payment requests/PO creation (taxes, social insurances, vendor fees)

Reports to: GU People Mobility Lead
External Relationships: Tax & immigration providers, People Mobility AEE teams, HR, Employee Tax and Immigration team, Finance teams, Relocation vendors, Workplace, Government authorities

Qualifications :

Qualifications:
Education: University degree or equivalent higher education qualification. Qualification in a related field (Operations, HR, Finance) an advantage

Work Experience:
1-2 years' experience working in a large multinational corporate environment desirable.
Work experience in Mobility area or dealing with expatriate administration in large multinational company an advantage

Knowledge/Skills Requirements:
·  Strong customers service skills
·  Excellent oral and written communication skills in English and Japanese
·  Experience of working a remote, multi-cultural team members
·  Sound working knowledge of MS applications (excel, word, Outlook) plus job specific tools (People Mobility Gateway, sharepoints)
·  Ability to pay attention to detail
·  Strong communication and interpersonal skills and organizational abilities
·  Strong analytical and problem solving skills
·  Ability to manage time, work to tight deadlines and multi task
